PROJECT ASSISTANT

PRIMARY FUNCTIONS

Reporting to the Project Manager(s) and Office Manager, this position will support the Project team in the field. It will assume a variety of day-to-day office and clerical tasks. This position is an integral part of ensuring our project operations run smoothly and support other business activities.

RESPONSIBILITIES

SKILL, KNOWLEDGE, EDUCATION AND EXPERIENCE

  • Process daily field payroll hours provided by the general foreman, adhering to pre-defined activity and cost codes
  • Assist Project Manager in assembling quote letters and submitting them to the customer
  • Track, add, and maintain new and current job log, estimate logs, manpower logs, and Extra Work Orders (EWO) logs
  • Support the project team to create and issue contract and purchase orders for the project
  • Generate, track, and complete all necessary subcontracts, purchase orders, bonds, and other project functions, including but not limited to, change orders
  • Be familiar with state construction requirements and lien procedures
  • Assist with compliance requirements by completing and filing tax exemption forms for projects and obtaining licenses at the city and county level
  • Assist with the new hire onboarding process to ensure all required new hire paperwork is completed, accurate and submitted to the payroll department for set up
  • Maintain project documents within the contract manager software, standardized filing system and server
  • Gather and assemble supporting documents for Project Manager
  • Manage project requirements such as Owner Direct Purchase Orders
  • Process project close out documents
  • Assist with bid running including helping other offices when available
  • Track, manage, and process purchase orders and invoices as necessary
  • Provide clerical and administrative support such as filing, copying, scanning, printing, maintaining office supplies, etc. as directed by the Project Manager
  • High School diploma required. Associate degree preferred
  • 2-3 years in a professional office environment required
  • Strong computer skills (e.g., Excel, Microsoft Word, and Outlook) required
  • SAGE and Procore experience preferred
  • Ability to work cohesively with other departments within the company
  • Effective written and verbal communication skills
  • Must be reliable and willing to work overtime when needed
  • Strong organizational and time management skills; ability to simultaneously coordinate and track status of multiple ongoing projects and prioritize work
  • Ability to thrive in a fast-paced office environment, working both collaboratively and independently, to meet deadlines on multiple projects simultaneously
